Terms & Conditions for the Hire of rooms in Dunblane Cathedral Halls
Bookings

In these terms “we”, “us” and “our” means Dunblane Cathedral, Kilmadock and Blair Drummond Church of Scotland and “you”, “your” and “user” means the individual, group or organisation booking and using the Halls.
Bookings must be made with our Office Administrator either via the website - click HERE, email to office@dunblanecathedral.org.uk or via phone on 07380-745650.
The Halls are available between 9.00am and 10.30pm. Any variation to this must be agreed with us in
advance.
All bookings require the submission of a booking form specifying the date, time, numbers attending and layout requirements. From this, the Office Administrator will determine the best room to meet your requirements.
Booking times should include any setting up or clearing away time and an additional charge may be made for any additional time used beyond the time stated on the booking form. Any unbooked meetings will be charged the full hire fee.
Use of Halls
The Halls will be used for the sole purpose stated in the booking form and you will ensure that such use complies with these rules.
You will comply with all statutory requirements and any rules made by us concerning the use of the Halls generally.
You will leave the Halls in a clean and tidy condition and clear of all rubbish when you leave, or each period of use if a recurring booking.
You will report any damage to the Halls or contents arising from your use and make good any costs
incurred in the repair.
The agreement and right to use the Halls cannot be transferred to another person or group, nor can
the booking be sub-let in whole or in part.
Booking the Halls does not include the use of parking facilities.
Charges
A charge or charges for the Halls and its resources used is based on the room hire rates current at the time of the booking, subject to review if necessary. Current room hire rates are available HERE. Where there is recurring use of the Halls, we will provide written notice of any change in the room hire rates. Any change in hire rates will be in force from the date of change, so the new fee will apply to any future bookings already in place.
Invoices are issued by our Office Administrator at the end of every month. All invoices will be deemed to have been received within 48 hours of despatch and must be paid within 1 month of receipt.
Cancellation Policy
All cancellations of hall bookings must be made via email or phone to the Cathedral office as soon as
possible.
Where a booking is cancelled more than 7 days before the event, no charge will be made.
Cancellations made up to the day before booking, 50% of the hire fee will be charged. Cancellations
made on the day of booking, or no shows, will be charged the full hire fee.
Dunblane Cathedral Halls reserves the right to waive cancellation charges in exceptional
circumstances at its discretion.
On certain occasions Dunblane Cathedral may require to cancel a booking, any fees or donations already paid will be refunded in full, and no further liability would be accepted. We would aim to give as much notice as possible.
Insurance
You will ensure that adequate insurance cover is in place for your use of the Halls (including Public Liability cover) and for any equipment or other property brought into the Halls and if requested you will exhibit the relevant policies and premium receipts to our Office Administrator.
We reserve the right to require endorsement of the relevant insurance policies in our name or to insure
separately against any possible claims and liabilities arising from your use of the Halls and to recover the relevant premiums or the increases in premiums, as the case may be, from you.
Indemnity
You will be responsible for any damage or loss caused to the Halls arising directly or indirectly from your use of the Halls.
We will not be responsible for any loss, damage, actions, proceedings, costs, claims or demands by any party of any kind arising from your use of the Halls and you will indemnify us against all such loss, damage, actions, proceedings, costs, claims or demands.
Safeguarding
If your use of the Accommodation involves “regulated work” with children, young people or “protected adults” as defined in the Protection of Vulnerable Groups (Scotland) Act 2007, you confirm you are aware of and undertake to comply with the legislation relating to these groups, and have read and understood the Church of Scotland Safeguarding materials and follow their provisions – please see the relevant section on Safeguarding at the Church of Scotland website – click here. If you are found to be in breach of this legislation we will have the right to terminate your entitlement to use the Halls with immediate effect.
